The booking
process
can differ
from venue
to venue,
but many
of the steps
will be
similar
regardless
of where
you are
reserving
your meeting
space.
Registration
The first
step is
generally
creating
an account
on the venue's
website.
This is
normally
just a standard
registration,
and the
accounts
are free.
Once you
have created
an account,
you will
have a login
name and
password
that you
will be
able to
use in order
to reserve
rooms in
the future.
Choosing
a Room
Once you
have obtained
a username
and password,
you are
ready to
begin searching
for the
perfect
meeting
room! Although
different
venues may
have different
processes,
in general
there are
two different
options
for selecting
a room:
browsing
or the room
finding
wizard.
If you
have a vague
idea of
what you
are looking
for in a
venue and/or
you just
feel like
seeing what
is available,
you can
choose the
browse option.
You will
be able
to browse
all meeting
spaces that
the venue
has available
for all
different
types of
use. If
you find
one that
you think
is suitable,
then you
can see
if any rooms
of that
type are
available
on your
desired
date(s).
If you
know what
the specifications
are for
the general
features
of your
meeting
space, you
can check
out the
room finder
wizard (some
sites will
use a variation
on this
name while
others will
call it
something
completely
different).
With the
wizard you
will be
prompted
to enter
your desired
specifications,
and then
you will
be presented
with rooms
that match
what you
entered
and are
available
on your
target date(s).
Confirm
& Review
Once
you have
finished
booking
a room,
you will
be presented
with a confirmation
page which
will show
the room
you selected
as well
as the date
and time
that you
have reserved
it for.
Once you
confirm,
the room
will be
"booked."
Depending
on the venue,
you might
be billed
immediately
via credit
card or
mailed an
invoice.
In the future,
you should
be able
to review
all rooms
that you
currently
have booked.
Canceling
Regardless
of the venue,
you should
have the
option to
cancel your
reservation
prior to
using it.
A common
cancellation
window is
24 hours
(you can
cancel up
to 24 hours
prior to
the event
and receive
no charge)
however,
it is important
to see what
the terms
& conditions
are for
your specific
venue before
actually
reserving
the room.
